CACHE Policies

PRIVACY

Though most materials in CACHE are available to the public, some items are only available to current Kalamazoo College students, faculty, and staff, or to Digital Archive Administrators only.

Authors and Communities can choose three levels of access to an item. They can make the item available:

  • to the public (everyone in the world)
  • to current students, faculty, and staff
  • to select groups of current students, faculty, or staff, or
  • only in CACHE for preservation purposes (accessible only by Digital Archive Administrators)

The Kalamazoo College Digital Archive Policies document addresses items with privacy and confidentiality concerns. Generally, documents that contain personal information (such as handwritten signatures, identification numbers, addresses, or phone numbers) will be redacted and the redacted version made available in CACHE.

Student Work 

Unpublished student works, such as Senior Individualized Projects, are generally accessible only by current students, faculty, and staff of Kalamazoo College and not to the general public. When these materials are submitted to CACHE, they are converted to non-printable PDF documents.

FERPA

FERPA (the Family Educational Rights and Privacy Act) was passed into law in 1974 (20 U.S.C. ยง1232g; 34 CFR Part 99 ). FERPA governs the nature of and the manner in which information about students can be disclosed. FERPA relates mostly to education records, such as a student's grades, transcript, schedule, and records of student discipline.

A student's thesis is an education record under FERPA. Student work included in the Digital Archive complies with FERPA requirements because:

  • Student work is not made accessible worldwide unless a student explicitly gives permission
  • Students are notified in advance in the Academic Catalog that the College reserves the right to keep copies of any or all individualized projects within academic departments, the Upjohn Library Commons, and/or an online digital archive
  • Students may opt out of having their work included in CACHE

COPYRIGHT

Copyright holders (usually authors) retain the copyright for all content submitted to CACHE unless they explicitly give it away to a third party.

Authors who hold copyright to their work to agree to a non-exclusive distribution license. This means that authors give Kalamazoo College the right to preserve and distribute their work through the Digital Archive, but they may make copies of their work available on other web sites without obtaining permission from Kalamazoo College. Authors may also publish their work, in the same form or in a revised form, without obtaining permission from the College.

All materials in CACHE are subject to Title 17 of the U.S. Code and may not be reproduced without the copyright holder's permission. 

Previously Published Works or Works Pending Publication

Many commercial publishers recognize authors' rights to post preprints or postprints online. If you would like to know where your publisher stands on this issue, visit SHERPA at http://www.sherpa.ac.uk/romeo.php and search under the name of your publisher.
